Agreements

Agreements sends any PDF through an ordered electronic signature flow. The sender prepares fields visually, each recipient signs from an email link, and DocuVault archives a sealed final document with completion evidence. The result is a simple electronic signature under eIDAS.

Prepare the PDF

Choose a PDF in DocuVault and open it in Agreements. Add the recipients, then drag the required fields onto the document pages. Available fields include signature, initials, text, checkbox and date. Assign every field to the person expected to complete it.

Set the signing order when recipients should act in sequence. Each person receives the request only when their turn arrives. Review field placement, ownership, recipient email addresses and order before sending.

Control the request in progress

Agreements supports automatic reminders and expiry, helping the sender keep an open request moving without manually rebuilding it. If a recipient address is wrong, the sender can change the email while the agreement is in progress. A recipient can also be reassigned mid-flight when another person should take their place.

These changes keep the existing request moving rather than requiring a new document preparation flow. Review the updated recipient carefully before the next signing turn proceeds.

Sign without a Gapfy account

Recipients open a link delivered by email and do not need a Gapfy account. Each recipient can receive the signer experience in their selected language across the six supported site cultures.

Before signing, the recipient provides explicit consent. The sender can enable an optional one-time code sent by email as an extra verification step. The recipient completes the assigned signature, initials, text, checkbox and date fields, then submits their turn.

A recipient who does not agree can decline and provide a reason. After signing, a recipient may optionally link the completed document to a Gapfy account to retain access through that account.

Seal the completed agreement

When the final recipient has signed, DocuVault seals the document so later tampering is evident. It creates a certificate of completion and retains a full audit trail for the signature flow. The completed record is archived in DocuVault, keeping the signed file and its evidence together.

The signature provided by Agreements is a simple electronic signature under eIDAS.

Choose the right signing tool

Use Agreements when signatures must be requested from recipients and supported by consent, ordered turns, optional code verification, reminders, expiry and an audit trail. Use Fill and Sign when you are editing a PDF yourself or adding your own signature without a recipient workflow. The browser editor is covered in the PDF editor guide.
